Who We Are

Ecom Heroes helps ecommerce brands and agencies hire vetted remote talent across roles such as customer support, paid media, Shopify development, search engine optimization, Amazon operations, email marketing, and creative work. We handle sourcing, screening, training, onboarding, payroll, and ongoing management.

For the purposes of data protection law, Ecom Heroes is the controller of the personal information described in this policy. This means we are responsible for deciding how and why your personal information is used.

Scope of This Policy

This policy applies to the personal information we collect in the following situations:

  • When you visit or interact with our website at ecomheroes.co.
  • When you contact us, request information, or submit a hiring enquiry as a client or prospective client.
  • When you apply to join our talent network or are considered for a role as a remote professional.
  • When you receive services from us or work with us under an agreement.

If a separate agreement between you and Ecom Heroes contains privacy terms that differ from this policy, the terms of that agreement will apply to the extent of any conflict.

Information We Collect

We collect personal information in three main ways: information you give us, information we collect automatically, and information we receive from other sources.

Information You Provide to Us

Depending on your relationship with us, this may include:

  • Contact details such as your name, email address, phone number, and company name.
  • Details about your hiring needs, such as the roles you want to fill, timelines, budget guidance, and any notes you share in a form or message.
  • Professional information if you join our talent network, such as your work history, skills, qualifications, portfolio, availability, and references.
  • Information needed to arrange payment and payroll for professionals we place, which may include billing details and information required for tax and compliance purposes.
  • Any other information you choose to share with us when you contact us or communicate with our team.

Information We Collect Automatically

When you use our website, we may automatically collect:

  • Technical information such as your device type, operating system, browser, and internet protocol address.
  • Usage information such as the pages you view, the links you click, the time and date of your visit, and how you reached our site.
  • Information collected through cookies and similar technologies, as described in our Cookie Policy.

Information We Receive from Other Sources

We may receive information about you from:

  • Referrals from clients, partners, or professionals in our network.
  • Publicly available sources such as professional networking sites, where you have chosen to make information public.
  • Service providers who help us verify information or carry out reference and background checks where this is appropriate and permitted by law.

How We Use Your Information

We use personal information for the following purposes:

  • To respond to your enquiries and provide the information or services you request.
  • To match ecommerce brands with suitable remote professionals and to manage placements.
  • To screen, vet, and assess professionals who wish to join our network.
  • To arrange onboarding, training, payroll, and ongoing management for placements.
  • To operate, maintain, and improve our website and services.
  • To communicate with you about your account, our services, and updates that are relevant to you.
  • To send you marketing messages where you have agreed to receive them or where we are otherwise permitted to do so.
  • To keep our website and services secure and to prevent fraud or misuse.
  • To meet our legal, tax, and regulatory obligations and to enforce our agreements.

Legal Bases for Processing

Where data protection law applies, we rely on one or more of the following legal bases to process your personal information:

  • Contract. Where we need to process your information to enter into or perform an agreement with you.
  • Legitimate interests. Where processing is necessary for our reasonable business interests, such as running and improving our services, as long as your rights do not override those interests.
  • Consent. Where you have given us permission, for example to receive certain marketing messages or to allow optional cookies. You can withdraw your consent at any time.
  • Legal obligation. Where we need to process your information to comply with the law, such as tax and record keeping requirements.

How We Share Your Information

We do not sell your personal information. We share it only as described below:

  • With clients and professionals for the purpose of making and managing a placement. For example, we may share a professional's relevant experience with a client that is hiring.
  • With service providers who perform work on our behalf, such as hosting, analytics, communication, payment, and payroll providers. These providers may only use your information to provide services to us.
  • With professional advisers such as accountants, auditors, and lawyers where necessary.
  • With authorities, regulators, or other parties where we are required to do so by law, or where we need to protect our rights, our people, or the safety of others.
  • With a buyer or successor if Ecom Heroes is involved in a merger, acquisition, or sale of assets, in which case your information may be transferred as part of that transaction.

International Data Transfers

Ecom Heroes works with clients and professionals in different countries, and some of our service providers may be located outside your country of residence. This means your personal information may be transferred to and processed in a country with data protection laws that differ from those where you live. Where we transfer personal information across borders, we take steps to make sure it remains protected and that the transfer complies with applicable law, for example by using recognized safeguards and contractual protections.

How Long We Keep Your Information

We keep your personal information only for as long as we need it for the purposes described in this policy. The length of time depends on the nature of the information and the reason we hold it. For example, we may keep general enquiry details for a shorter period, while we may keep records related to placements, payments, and legal obligations for longer. When we no longer need your information, we take reasonable steps to delete it securely or to anonymize it so that it can no longer be linked to you.

How We Protect Your Information

We take the security of your personal information seriously. We use organizational and technical measures designed to protect it against loss, misuse, and unauthorized access, disclosure, or alteration. These measures include limiting access to personal information to people who need it, using secure systems and reputable service providers, and reviewing our practices on a regular basis. While we work hard to protect your information, no method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your Privacy Rights

Depending on where you live, you may have some or all of the following rights in relation to your personal information:

  • The right to access the personal information we hold about you and to receive a copy of it.
  • The right to ask us to correct information that is inaccurate or incomplete.
  • The right to ask us to delete your personal information in certain circumstances.
  • The right to ask us to restrict or object to how we use your information in certain circumstances.
  • The right to receive certain information in a portable format and, where possible, to have it transferred to another organization.
  • The right to withdraw your consent at any time where we rely on consent.
  • The right to opt out of marketing messages at any time.
  • The right to lodge a complaint with a data protection authority in your country.

To exercise any of these rights, please contact us using the details at the end of this policy. We may need to verify your identity before we act on your request, and we will respond within the time required by law. You will not be treated unfairly for exercising your rights.

Marketing Communications

We may send you marketing messages about our services where you have agreed to receive them or where we are otherwise permitted to do so. You can ask us to stop sending marketing messages at any time by using the unsubscribe link in our emails or by contacting us directly. Even if you opt out of marketing, we may still send you important messages about our services or your account.

Cookies and Similar Technologies

Our website uses cookies and similar technologies to help it function, to understand how it is used, and to improve your experience. For full details, including the categories of cookies we use and how to manage them, please read our Cookie Policy.

Children's Privacy

Our website and services are intended for businesses and for professionals who are adults. We do not knowingly collect personal information from children. If you believe that a child has provided us with personal information, please contact us and we will take appropriate steps to remove it.

Third Party Links

Our website may contain links to other websites and services that we do not operate or control. This policy does not apply to those third party sites. We encourage you to review the privacy notices of any website you visit, as we are not responsible for their content or their privacy practices.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, our services, or the law. When we make a significant change, we will update the date at the top of this page and, where appropriate, we will provide additional notice. We encourage you to review this policy regularly so you stay informed about how we protect your information.
